The Opportunity:
Saint Luke’s Hospital’s Research Department is looking for an Executive Administrative Assistant to provide administrative support to the VP of Research, the Director of Research and the Manager of Cardiometabolic Research. You will work under a friendly and supportive leadership team all while having the opportunity to work independently performing a wide variety of complex and confidential administrative responsibilities.
To be successful in this role, you will need to have a strong attention to detail, excellent customer service skills and the ability to maintain a high level of confidentiality. Because you will have a diverse workload, being able to manage several ongoing priorities with last minute requests will be very important. The ideal candidate for this position would have at least 2 years of executive administrative assistant experience, preferably in a healthcare setting.
The Work:
• Supports the following positions (requiring extensive calendar management of very busy schedules):
o VP of Research for SLHS
o Director of Research for SLHS
o Manager Cardiometabolic Research
• Supports the Cardiometabolic Research Team (e.g., biomarker database updates, data cleaning, query resolution, locking and exporting of case report forms, site invoice tracking)
• Training and backup for other Executive Administrative Assistant in Research Department with the following responsibilities:
o Timekeeping, scheduling meetings & conference rooms, ordering supplies, catering, mail services, floor maintenance (e.g., copy machines, liaison with housekeeping and facilities)
o Supports the Clinical Director of CV Outcomes Research provides general support for other managers in the research department, and will support the Director of Cardiovascular Research
• Helps organize leadership committee meetings as lead by the Administrator. Prepares and distributes related materials and takes meeting minutes.
• Handles highly confidential and sensitive information.
• Performs general clerical duties to include preparing letters and mailings, filing paper and electronic materials, and maintaining email and SharePoint distribution lists and permissions.
• Uses independent judgment to plan, prioritize, and organize a diversified workload.
• Prepares PowerPoint presentations.
• Maintains filing system and processes for the office.
• Manage various administrative and special projects and other duties as assigned.
