Job Description
The Opportunity:
The Administrator Assistant for Home Care and Hospice, under the direction of the Director of Operations, will provide executive administrative support to the organization's Directors. The role will also provide supervision of non-clinical staff and office processes within the operations team, to include, but not limited to supply management, receptionist, phones, and office administration. This position will be integral in providing oversight in ensuring all office needs are met and will work toward identifying opportunities to improve efficiencies
The Work:
The following tasks are essential parts of the Administrative Supervisor Home Care and Hospice position. This is not a comprehensive list and job duties, and requirements are subject to change based on business needs and continuously changing legal and administrative requirements:
Manages calendars and schedules meetings for a team of directors and CFO in support of SLHS Home Care and Hospice.
Prepares for board of directors and committee meetings. Develops PowerPoint presentation, agendas, and minutes.
Maintains board records, contracts, and regulatory files. Assists with tracking and filing of regulatory items.
Prepares weekly admissions, ADC, revenue, and other reports.
Prepares executive quality reports and monthly scorecards.
Prepares leadership and QAPI meeting agendas and keeps minutes on SharePoint.
Creates and distributes virtual town hall meetings and other communications.
Supervises administrative office staff and processes. Hires, trains, mentors, and evaluates employees.
Manages the agency’s phone system and answering service.
Purchases and oversees non-medical supplies and materials management. Tracks and releases purchase orders.
Additional administrative assistant duties as identified.
